Patient Encounter Workflow

The patient encounter case workflow is a single page design with drop-down sections. The eight sections are: (1) diagnosis, (2) slide orders, (3) documents, (4) case comments, (5) billing, (6) ancillary requests, (7) report, and (8) consult.

The Patient Information (i.e., patient name, date of birth, and case information) is displayed across the top. You can click on the Information button to display all encounter and patient demographic information and change the pathology group assigned to the case. Once you have selected the new pathology group within this modal and save, the page will be redirected to the dashboard.

By clicking on the Notes icon, you will open the Encounter Notes. Additional notes can be created here by the pathologist outside of the diagnosis. Notes can be shown, emailed, and assigned to other users or groups.

Diagnosis

Here you can verify the accuracy of gross measurements and enter diagnosis information manually. If you are using the Digital Slide Viewer, you can enter it by selecting the slide dropdown menu.

Data will appear on the final report as it appears here. It is your responsibility to verify that all data is accurate prior to finalizing the report.

 

Slide Orders

Order recuts, levels, and additional stains as well as document special stains.

 

Documents

This section is where additional documents can be uploaded and attached to a case. Photomicrographs will also be stored here from the diagnosis section.

 

 

Case Comments

Create comments about the diagnosis in this section. Comments will be included on the final report.

 

Billing

In this section, choose which billing and diagnostic codes to bill for the encounter. Select the applicable CPT and ICD-10 codes from the drop-down menus provided. Billing codes for additional stains are handled separately.

 

Ancillary Tests

Request or approve ancillary tests in this section.

 

Reports

Select the report type here by using the drop-down menu and generate and approve the report to finalize and document the information from previous sections. This also closes the encounter, which will generate a notice to the clinic that the final report is ready.

 

Consultations

You can request a consult by clicking the Consult Tab. The drop-down menu contains a list of pathologists on the LUMEA platform from which to choose, and you may click the request button. When the request has been completed, the returned consult will appear on the pathology dashboard under “Completed Consults.” 

If you have requested a consult, it is prudent to wait for the consult to be returned before finalizing your report.
